Automation for clinics and dental practices
Patients call while the receptionist is with someone in the chair. The call rings out and they dial the next practice in the search results. This is the job the machinery closes almost completely.
How do you automate call handling and booking in a clinic?
In two layers. A voice agent picks up when reception is busy, takes the name, phone and email and books a call-back into the calendar. A bot in WhatsApp and the site chat answers questions about prices, dentists and how to prepare, and books into the schedule the practice already uses. Reception keeps the difficult cases.
A voice agent on the phones
Answers when the line is busy or out of hours. Takes the name, number and email, spells the address back, and books a call-back into the calendar. You can ring it and hear it do this.
Booking in chat
An agent in WhatsApp, Telegram and the site chat: services, dentists, free slots. It books inside the conversation, into the schedule you already keep.
Reminders before the visit
A message the day before with the time, the dentist and the address, asking for confirmation. No-shows and the gaps they leave are the most expensive small thing in a practice.
Handover to reception
Clinical and unusual questions are not the agent's to answer: they go to a person with the whole conversation attached, so the patient is not asked everything twice.
Where to start
With one channel rather than all of them. Usually that is the phone: it loses the most, and the result shows within a week.
Count how many calls a day go unanswered. If it is a handful, start with booking in chat, which costs less. If it is a noticeable share of the flow, the voice agent comes first.
What not to expect
The agent does not diagnose and does not answer clinical questions. That is a deliberate limit rather than a gap. Its job is to take the repetitive part off reception: prices, the address, free slots, how to prepare, the booking and the reminder.
Everything else goes to a person. If nearly every question in your flow needs a clinician’s judgement, only the intake is worth automating.
What sits behind this
The voice agent in the demo answers for a fictional dental practice, and it is built around the part that breaks: taking an email address by ear over a noisy line. That procedure is pulled apart in its own article. Chat agents I build on Watbot, a platform my partner and I have run since 2018.
