The service advisor is pulled between a car, the phone and a messenger. The customer wants to know one thing: when is it ready. Those two flows need different machinery.

How do you automate taking jobs in at a garage?

Bring every channel into one place and take two repeating questions off the advisor. An agent takes the job from a messenger, the website and the phone, asks for make, model and the problem, and books a slot. Job status and parts arriving go out as a notification rather than the call nobody has time to make.

Booking a slot

The agent offers free slots for the kind of work needed and books one. The advisor sees the day in advance rather than assembling it as it goes.

Status to the customer

Car received, part ordered, part arrived, work finished. A short notification instead of a call removes most of the incoming "any news?".

The next visit

A reminder about a service interval or a seasonal change, based on the date of the last visit. The list builds itself from the history.

Where to start

With job status. It is the cheapest step and the most visible: it removes the incoming “any news?” calls that interrupt the advisor at the worst moment.

Single intake comes next. It needs an agreement on which fields are compulsory: make, model, year, a description of the problem, a contact. Without that the cards come in at different quality and a shared list is worth little.

The part that is harder than it looks

Booking by time is harder for a garage than for a clinic: how long the work takes is not known in advance, and the diagnosis can change everything. So the agent books the drop-off rather than the repair, and says so plainly. Promising an exact finish time on the phone creates more arguments than it saves.
