How do you automate bookings for a gym?

With an agent in a messenger that knows the class timetable and the trainers' free slots and books inside the conversation. Two things earn the most and run separately: a waiting list that puts someone into a cancelled spot, and bringing back members who stopped coming, worked out from their last visit.

Someone cancels two hours out and the place does not vanish — it goes to the first in the queue. This is where the machinery beats a person: it is quick enough.

Bringing members back

Anyone who has not been in for three weeks gets a message with the next classes in their own discipline. The list comes from attendance rather than from a trainer's memory.

Memberships and reminders

A membership ending, a freeze running out, a class a few hours away. Nobody sends these on time by hand.

Where to start

With the waiting list, if your classes fill up. It is the one place the machinery earns money directly: a place cancelled two hours out is one a person cannot refill in time, and a system can.

If classes do not fill up, start with bringing back the members who stopped coming. The money does not appear immediately, but neither does the effort.

The part that is harder

Everything interesting runs into your club management system. Memberships, attendance and the timetable live there, and the only question is whether it lets anything out. If there is an export or an API, the job is doable. If the data is reachable only through the interface, you are left with manual exports and some of this stops being worth building.

That is worth checking before the work starts rather than after. One question to your software supplier saves weeks.
