Webinar: registration, reminders, no-shows and people stuck at payment

Registration, reminders before the start, the recording for those who did not come, and a morning list for the manager: who created an order after the webinar and stopped at payment.

The problem

Hundreds of people register for the webinar and noticeably fewer show up. Reminders are set by hand in the mailing tool, the recording goes to some no-shows and not others, and the people who reached the payment page after the webinar and stopped are searched for in GetCourse by hand, if at all.

The chain step by step

  1. Registration. A form on the site or a bot sends n8n the name, email, Telegram if the person came through the bot, and the source tag. The confirmation goes out right away, in Telegram or by email.
  2. Participants sheet. One row per person in Google Sheets, holding the time of every message sent. Registering twice does not create a second row.
  3. Reminders. Every five minutes the workflow checks who is due which message: a day, an hour and ten minutes before the start. Each goes out once. Someone who registered half an hour before gets only the last one.
  4. Entry link. The link in the reminders goes through n8n: the workflow marks the person as present and opens the webinar room straight away. The attendance list builds itself without an export from the webinar platform.
  5. No-shows. An hour after the end, those who never opened the link get the recording with a short message.
  6. Reached payment. A GetCourse process reports every new order and its payment. Every morning the manager gets a Telegram list of people who created an order more than two hours ago and did not pay.

What the school provides

Webinar date and time, the room link and the recording link. A registration form or a bot that can post data to an address. Rights in GetCourse to create an order process. A Telegram bot, a mailbox and a Google Sheet with two tabs.

What the school gets

Reminders no longer depend on a curator remembering them. No-shows get the recording while the webinar is still fresh. The manager starts the morning with a list of people who already wanted to buy instead of digging through orders.

Where it breaks

“Present” is set by the click on the link, not by time in the room: a person may have opened it and closed it. If the webinar platform exports viewers with watch time, step 4 is better replaced by that export. Reminder texts and sending windows live in the code of one node and get adjusted for each webinar.

The n8n file

Download school-webinar-funnel.json. Import: Workflows, Import from File. The note inside the file lists the columns of both tabs and the line for the GetCourse process. Keys in the file are empty.

This is a demo. The recipe was built for the portfolio and has not run for a school yet.
